Database Development and Re-Design
Job Description We are a small consulting firm and want to put a concerted effort into our corporate data requirements over the next few months. There are 3 projects, which could be done separately or concurrently. We are currently using Access 2010 as a database engine, however are open to alternate system offerings if there was a strong reason (SQL, other). We have a growing data management requirement but also want to be able to remotely (and securely) access the data, either through HTML or similar, so we can log in through an internet connection. We are seeking a partner to assist in developing and maintaining / improving these databases. PROJECT 1 : INVOICE AND PERFORMANCE MANAGEMENT DATABASE We have an in house developed database to take timesheet data from a web based system (clicktime) and then create invoices to clients, performance information of consultants, and other reporting (including export invoice data to the cloud based accounting system - Xero). The current database has 'grown' as additional requirements have been required, so it is certainly not ideal, but functions well. We now want to take to the next level, and undertaken the following enhancements: PHASE 1 : Clean up Existing System - Essential - clean up the database or start from scratch (what ever is more sensible) to achieve the current functionality - Automate some processes where possible (eg. merge multiple reports into a PDF and save in a pre-defined format, export in pre-defined format to a CSV file etc.). - Improve the data entry forms to provide smarter logic, lookups, searching - Develop the user interface for non-access users to simply use the product The current database will be provided as a starting point, including more detailed specifications and requirements. PHASE 2 : Basic Enhancements - Essential - Develop into a multi-user log on with some basic controls (limit access to some users) - Enhance some reporting from existing data - Develop a backup procedure to protect raw data. Consider separating into two databases (front end and data) PHASE 3 : Develop a HTML Front End (Allowing remote log in) - Optional Extra This enhancement will require us to host the database on a server (not yet established) or similar - to be discussed. This will have the primary goal to allow the database to be managed and used by multiple users (2-5 people) to undertake work on the database concurrently. PHASE 4 : Develop a User Entry for Timesheet Entry of Staff - Optional Extra This enhancement may allow us to replace our web based time sheet application with our own timesheet entry system. Our requirements are relatively simple, however may require a separate database system that then can interact with the primary database. PROJECT 2 : CASE STUDY DATABASE We also have another database system to be developed, which could be done either concurrently with this project, or upon completion of this project. This involves recording case study (experience) information that can be searchable that links to clients, staff, and key skill sets. This will then be used for CV printing (to PDF or Word) and extraction of data to develop responses to work proposals. PROJECT 3 : FINANCIAL DATA REPOSITORY We are developing the requirements for a detailed database to track, compare and report on government financial data and other performance related data. This dataset will involve 10+ years data for some 300 organisations initially, expanding over time. The ultimate expectation is that this will be a significant database holding mulit year data for well over 1000 Government organisations. This will require a separate data entry process (by multiple users inside and outside the company) with no access to the primary database (this could be a data form process or similar). User control access will be required at varying levels (eg export data, access to various reports / queries, report development etc.). This requirement is being developed, and will need to be flexible as our needs become more refined. This is a major undertaking for our company and will require ongoing development over time. The large data requirements would probably limit Access for this product, and a more enterprise solution may be needed (SQL, other?) Candidates should respond with an expectation of completing all three projects, noting that Phase 1 of Project 1 will be a decision point for further work. Our preference is to not separate these projects to multiple suppliers, but could be considered.
