Administrative Assistant- Law Office
Duties: • Attorney calendar/scheduling • Client contact/scheduling via telephone • Extensive Travel arrangements • Setting up conference calls • Straight Typing (minimum of 60 wpm) • Typing letters, memos & email correspondence, finalizing same • Revising docs/Comparing versions • Scanning, Printing & Saving docs to system • Filing/Archiving & Maintaining Closed Files • Prepare docs for closing (dates, clean versions, copies, etc.) • Prepare signature charts • Flag signature pages for closing • Prepare final invoices • Assemble digital closing binders • Open files/Circ. conflict emails • Type labels for redwelds & file folders • Faxing/Photocopying • Bookkeeping/Billing experience is a plus • Answer phones/Greet clients • Coffee/Lunch setups for clients/meetings • Mail duties/Sorting/Distributing/Prepare Postage/Fedex • Order/maintain supplies for office & kitchen • Main contact person for copier, printers, building maintenance, computer issues Personal Attributes: • Excellent Communication Skills verbal and written • Warm and engaging personality • Precise and accurate/Responsive (i.e., email, returning phone calls) • Ability to think on his/her feet • Ambitious/Shows Initiative • Team Player • Independent Worker/Responsible • Professional • Works Well Under Pressure • Highly motivated & Organized • Trustworthy/Dealing with Confidentiality • Ability to Multitask
