Secretary/Admin Staff/ Receptionist
Provides a very professional reception desk to all visitors of clients' during the scheduled working hours. Determines the nature of the guests visit and provide the appropriate response/answer. Manages the processing and recording of all guests into the clients' building Issues access cards and site safety information to guests. Monitors the movement of people in the reception area and other floors. Reports immediately to Security personnel any suspicious behaviour or abandoned packages seen. Handle calls received through the switchboard as and when required. Pages host including follow-up and visitor feedback. Generate standard and customized reports as required. Assemble and submit relevant data from files and other sources of information for statistical and general reporting. Participates in evacuation and bomb alert exercises as required. Performs other tasks as directed by the Building Services Supervisor. Compose and prepared Timesheet, Reports, Meetings, Roster Plan, Transmittal Forms, Alterations & Quotations. Received all payment from the tenant's and monitor / filed all document history. Comply with all Company health, safety and environment requirements and be responsible for maintaining a proactive approach regarding personal well being and that of fellow employees Identify, initiate, recommend and assist in the issue resolution process. Promote a positive HSE culture in the workplace. First Aid Trained Look after manager's email and response if needed. Monitor the schedule of meetings, reservation flights, timesheet for the manager. Provide reports for the client, minutes of the meeting and attend if needed. Filling of all documents confidential / non confidential. Scanned / Print / photocopy.
