Administrator Level 6
JOB PURPOSE: To Provide Financial and admin Support to the YOS Offending Service and YOS Finance Office.To process income and expenditure in accordance with Financial Regulations and procedures. MAIN DUTIES: �Raise invoices / credit notes to third parties for the YOS. �Closely monitor agency payments and telephone bills etc. �Process timesheets, expense, car mileage claims and rail warrants for the YOS. �To understand and actively promote the council customer service policy ensuring the needs of our customers are considered at all time to enable the council to meet its customer satisfaction targets. �Work closely with the YOS Finance Officer to manage a �2k monthly imprest in accordance with financial regulations and ensure that authorisation for payment forms are signed by a responsible budget holder before making a payment. �Issue travel warrants to staff and clients whilst allocating each travel warrant to the relevant cost code and maintaining appropriate records of all warrants issued. �Maintain a spreadsheet of warrants to staff for budget monitoring purposes. �Ensure that monthly imprest is reconciled and each payment is made using the appropriate expenditure code. �Maintain a spreadsheet of payments to clients for budget monitoring purposes. �Process various payments whilst updating a computerised and manual record system �Ensure that goods and services are ordered and confirmed electronically using SAP / SRM in accordance with the council�s requisition procedures including commission of service from independent and voluntary bodies. �Ensure that invoices are thoroughly checked so that they are automatically correct and that any discounts the council is entitled to have been claimed and granted. �Provide advice, information and assistance with enquiries both written and verbal relating to expenditure services from all suppliers. �Deal with account queries from suppliers, council staff and partner agencies. �Ensure arrangements are in place for prompt processing of payments for all goods and services supplied hence preventing any claims for interests. �To undertake reception duties as required, covering the reception area of the YOS, meeting and greeting visitors and booking them in for their appointments. �To meet and greet visitors who may be angry, aggressive and display very challenging behaviour. �Answering telephones, taking enquiries and messages and log them according to admin procedures and to transfer calls as required. �Make room bookings etc for YOS staff. �To undertake a range of typing and word processing services for the Service, using a variety of programmes such as word and excel e.g. creating documents and folders, typing and sending letters and creating mail mergers etc in accordance with instructions of senior office administrator. �Inputting information onto the YOIS computer data-base. �To assist in the production of administrative auditing of stocks (stationery) and production of office inventories. �To assist in the preparation of meetings and conferences. �To attend and minute meetings and to type and submit minutes for approval before distribution. �To assist with the administration of conferences and meetings and to record minutes when requested.
