JOB PURPOSE: To provide a welcoming and efficient reception service within the Local Authorities. MAIN DUTIES: �To assist visitors as the first point of contact in a helpful efficient way and be courteous all times to Councillors, members of staff and the public. �To endeavour to resolve any conflict in a tactful manner and to prepare a written report on any incident. �To help maintain security within the building ensuring that a record is kept of all visitors apart from those attending events in the Oculus and the ground floor meeting rooms and to operate and monitor the CCTV system in accordance with the CCTV Code of Practice. �To deal with the issue and receipt of security passes and notify appropriate staff as soon as possible that a visitor has arrived and can be collected from the reception. �To deal with any queries regarding car parking arrangements for visitors and to administer the car parking passes for staff visiting the town centre. �To ensure that the reception area is kept in a clean and tidy condition during the working day and to maintain stocks of leaflets and other literature that is available. �To update the electronic notice board on a daily basis advising the public of meetings and events taking place in the Oculus and the ground floor meeting room and to assist attendees as necessary. � To receive any deliveries to the building, checking the delivery notes and ensuring that the caretaker delivers the goods to the relevant officer. �To liaise with the caretakers and administrative officers within the FM team and any other backup staff to ensure that the reception is covered throughout the working day. �To undertake some word processing, help with administration of the flexi system and assist with bookings for the Oculus and the ground floor meeting room. �To carry out any additional basic administrative or clerical or other tasks as requested which can be performed from the reception desk. �To undertake other duties of a similar level and responsibility as may be required from time to time.
