Grants Registration and Reporting Officer P2 (Short-term)
The World Food Programme (WFP) is the world's largest humanitarian agency, fighting hunger worldwide. We are currently seeking to fill a short-term position of Grants Registration and Reporting Officer at P2 level, based in the Private Partnerships Division at our Headquarters in Rome, Italy, for a contract period of 6 months, extendable up to 11 months. The Grants Registration and Reporting Officer will be responsible for the following key duties: Ensure and oversee timely registration and in-house tracking of private sector contributions, by properly managing financial information flow with all the internal and external parties; Advise and support the Division Finance on contribution registration and grants administration matters; Ensure prompt communication with Donor Relations Officers, Programming, Finance, Sub-Units (Asia, Middle East, USA, Private Partner Assignments Unit), Budget, Country Offices, Regional Bureaus, Liaison Offices, Friends Organisations and other parties (e.g. pass-through organizations, small donors, on-line donations, etc) and provide expert advice on grant registration and contributions forecast; Serve as a liaison and focal point for grants registration and overall contributions reporting between HQ and Private Sector Sub-Units in Asia, Middle East, Europe and USA; Prepare financial reports and analysis of confirmed and forecasted donations and fundraising achievements; Ensure grant registrations are supported by legitimate and sufficient documentation and that grant registration procedures are followed; Send formal notifications of grants confirmation to all concerned; Monitor expected funds and funds received and reconcile the Treasury Clearing Account (TCA); Provide forecast and confirmed grants in SAP including periodical monitoring and reconciliation of the forecast and register forecast in SAP; Ensure timely clearing and follow up on outstanding accounts receivables; Responsible for all reconciliation of corporate systems against the internal databases, Donations Database, SAP and Salesforce; Reconcile the online data from Papilia with actual funds received; Extend grant validity and re-programme grants as required; Work closely with the web team to provide information regarding received online contributions; Divulgate reports to Donor Relations Officers and Management on unprogrammed and unspent grant balances for follow up; Report on Accounts Receivable outstanding and funds to be received; Serve as Grants Management technical process expert and liaison for in-house technical teams; Perform other related duties as required. Qualifications & Experience Required Education: University degree, preferably in Finance, Accounting, Business Administration, Social Sciences or other related fields. Experience & Knowledge: At least 3 years of postgraduate professional experience in financial and trends reporting; Understanding of grants management and/or donor contributions cycle; Knowledge of grants registration and donor contributions software such as: SAP, Papillia, Salesforce, etc; Advanced knowledge of Excel and data management software. Competencies: Excellent communication, analytical and project management skills; Good interpersonal skills to work in a team, and establish effective working relations with business partners; Ability to establish priorities and manage multiple tasks.
