Our client is seeking an Admin Assistant in Reston, Virginia. Main Duties: Provide primary office and telephone coverage for all visitors and general incoming calls to the company's Washington Office Point person for handling WO conference room reservations, catering, and other logistics for small meetings and events that are requested by SVP or WO Director or others Primary point of contact for receiving and distribution of all incoming faxes, mail, and package deliveries, notifying staff as required; Coordinate WO conference room usage binder, including video conferences; coordinate lite-pro projector usage; receive and distribute all incoming faxes and mail, notifying staff as required; maintain WO mailboxes and the weekly Washington Office Whereabouts (WOW and other information lists contained on WO Staff Info folder on T Drive Point person for set up, answering staff questions, and troubleshooting small problems on office phones, postage machine, fax machines, Xerox copiers, computers, video conferencing, projectors, and other equipment to determine whether and contacting IT or outside service vendors if repair service required is needed Receive, open, and Process invoices as directed; review invoices to ensure they are properly coded ensure they meet accounts payable requirements and approved, enter in the company's Accounting System (CBAS) and prepare for release. Process reports and monitor budgets as directed Maintain reception area, workroom, conference rooms, office supply room, kitchen, library, and other common areas, ensuring that they are free of clutter and properly stocked as needed Responsible for ordering Government Relations unit supplies and shared general office and kitchen supplies, including but not limited to equipment refills such as coffee, water, including but not limited to paper towels, copier toners and paper, for faxes, copiers, and printers Admin Assistant Qualifications: High school diploma or equivalent, and minimum one to three years related experience Some college degree preferred Minimum one to three years experience in an office environment Strong customer service orientation Self starter with Strong organizational and multi-tasking skills Excellent interpersonal skills Advanced computer skills including Microsoft Office applications, especially EXCEL Strong verbal and written communication skills, including editing and proofreading skills Some accounting knowledge and experience preferred Ability to operate and troubleshoot simple office equipment and set up of laptop and desktop personal computers
