Purpose of the role: To provide a comprehensive administration and secretarial support service to the Ipswich office. This role is for a fixed period until April 2013 to provide maternity cover, working 9.00am to 5.30pm, Monday to Friday. You will be expected to, depending on the needs of the department, support other secretarial teams as required. This role will be expected to work with the minimum of supervision, exercising independent judgement and initiative. Principal duties: To provide general administrative and secretarial support. Able to accurately produce letters, reports, using word processing systems with both audio and copy typing. Preparation and dispatch of correspondence including reports, which may arise in any given department. Dealing effectively with all incoming correspondence. Production of invoices. Maintenance of client information on internal Excel databases as required. To undertake general office duties including the photocopying and filing systematically of all documents, report and correspondence as per local instruction and training. Excellent telephone manner, with the ability to operate the reception desk when required. To ensure continuity of service by providing cover in the absence of secretarial colleagues. Reception cover on a rotational basis (lunch and breaks). Carry out ad hoc assignments as requested. Liaise with departmental manager with regard to daily workload. Assist in organising and attending marketing functions as required. To complete and retain a record of the Ipswich office timesheets To maintain a stationery stock, for the Ipswich office. To be actively involved in the promotion of Health & Safety at Work, with an awareness of general housekeeping and reporting of faults. To undertake mandatory, and statutory training in line with the Firms policy. Experience / Skills: Audio typing experience is essential ~ 50wpm minimum typing speed. Proficiency in Word, Excel and Microsoft office applications essential. Ability to prioritise work. Dealing with post, faxes, incoming calls, and general administration. Excellent communication skills both written and oral. Personal Attributes: Pleasant, approachable, and professional manner. High level of initiative with the ability to prioritise. Organised and efficient. Able to offer a flexible approach in their work. Ability to work as an active team member whilst equally comfortable working alone.
