Executive Assistant to the President & the Vice President, Finance

We design and deliver hardware products for the home that are functional, fashionable and affordable. Our customers include Fortune 100 companies, national and regional retail brands, specialty retail stores and major commercial, single family and multi-unit home builders. Our head office is located in Delta, BC. The Role: We are currently looking for an exceptional Executive Assistant to join our team for a 14 month maternity leave contract. This assignment will start in August 2012. The Executive Assistant is responsible for a wide variety of administrative duties in support to the President and the Vice President, Finance. The successful candidate will be self-confident with superior organization and communication skills. This role also requires the individual to be capable of dealing with highly sensitive and confidential situations and information. Key Responsibilities: § Represents the Executives with all stakeholders and visitors that they may be in contact with. § Coordinates meetings / schedules / travel arrangements / business functions / special events. o Takes meeting minutes, reviews agendas, and prepares meeting materials. o Creates presentation materials for a variety of audiences. § Monitors Executive’s e-mail and incoming mail by checking deadlines and handling as many as possible on the recipient’s behalf. § Maintains and updates schedules. § Prioritizes action items for Executive’s attention. § Prints and prepares documentation for appropriate meetings/material review § Prepares files in advance with key issues highlighted. § Prepares draft correspondence, reports, background documentation, and research on behalf of the Executive. § Performs filing and record keeping. § Maintains attendance records/vacation time schedule of Executive’s direct reports § Complete expense reports, pay invoices, and other related duties. § Maintains and prepares salary/review update materials and coordinates with the Executives. § Organize, coordinate and implement office reorganizations and special projects. § Other duties as may be assigned. Skills and Requirements: § A minimum of 5 years relevant experience. § Post secondary education in office administration an asset. § Proven diplomacy and confidentiality and superb professionalism. § Excellent verbal and written communication skills. § Able to remain calm and collected under pressure. § Proven organizational and time management skills, able to multi-task, and detail orientated. § Strong knowledge of office procedures and practices. § Able to make sound decisions and exercise good judgment. § Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, Power Point). § Resourceful and flexible. Able to work flexible hours, sometimes with little notice. § Able to manage the “inherent authority” aspects of this position. § Able to spontaneously react to Shareholder requirements/requests with a sense of urgency, priority and sensitivity.
