Sales and Managing Director Administrator - Temporary 6 months
AIM To organise and coordinate office and sales operations and procedures to ensure organisational effectiveness and efficiency. ACCOUNTABILITIES • Responsible for the day-to-day running of the Managing Director’s office. • Communicating internally and externally on all sales activities. • e-commerce and social media responsibilities. • Liaising with other agencies, organisations and groups. • Handling correspondence and liaising with customers and agents. • Producing promotional correspondence for mail shots and email flyers. • Optimising and maintaining of company databases through customer and agent records. • Preparing Company reports and reporting directly to the Managing Director. • Producing Corporate PowerPoint presentations, reports and documentation. • Developing and implementing new administrative systems, such as record management. • Using a range of office software, content manager, PMS., spreadsheets and databases; • managing filing systems and e-mails • Typing agendas and taking minutes, preparing and producing agendas and minutes of meetings. • Co-ordinating Sales and marketing activity calendar and event activities. • Responding to customer enquiries and complaints. • Updating organizational memberships, maps and correspondence. • Managing and maintaining all aspects of office stationery, equipment and office management. Because of the changing nature of our business your job description will inevitably change. You will, from time to time, be required to undertake other activities of a similar nature that fall within your capabilities as directed by management. KNOWLEDGE, SKILLS AND ABILITIES (The knowledge, skills and attitudes required for satisfactory job performance) KNOWLEDGE The sales administrator must have proficient knowledge in the following areas: • knowledge of office administration • Web, e-commerce, e-marketing, social media savvy • ability to maintain a high level of accuracy in preparing and entering information • Working knowledge of the USA educational structure and study abroad programing an advantage SKILLS The sales administrator must demonstrate the following skills: • strong internal and external customer service skills • high level of accuracy and strong attention to detail • ability to maintain the strictest confidentiality • strong communication skills both verbally and in written form with first-rate editing skills • consistent and reliable follow-through abilities • excellent interpersonal skills and phone etiquette • team building skills • analytical and problem solving skills • decision making skills • listening communications skills • very effective organisational skills • proficiency in Microsoft Office applications such as Word, Excel, Outlook and PowerPoint, • PMS, content manager skills advantage • computer skills including the spreadsheet and word-processing programmes, and e-mail at a highly proficient level • stress management skills • time management skills PERSONAL ATTRIBUTES The sales administrator must maintain strict confidentiality in performing the duties of the Managing Director’s and Sales Administration Office.
