Procurement & Image Database Systems Assistant (Full-time Freelance)
To assist with the provision of procurement and other administrative and budget services to DOC’s Internet, Broadcast and Image Section in support of the timely organization, submission, execution and follow-up of contractual and related IBIS work. To provide technical assistance to IBIS’ Photography Unit, including inputting and maintenance of systems data on www.photos.unicef.org. To support other work as needed. Responsibilities: Scan several large filing cabinets currently storing photo library materials into our digital archives Support procurement processes & the maintenance of related records Ensure compliance of procurement activities with UNICEF rules, regulations and policies and timely processing of related invoices Provide technical assistance to IBIS’ Photography Unit, supporting the inputting and maintenance of systems data on www.photos.unicef.org and on Unit backup and archives systems Carry out the timely organization, updating and archive scanning of Photography Unit assignment folders, hard copy photographs and other materials Carry out timely ordering, inventorying and distribution of non-specialist IBIS supplies Complete other administrative support as needed. Qualifications or specialized knowledge/ experience required: Minimum of two years’ experience as an administrative assistant. Experience in support / maintenance of database and archival systems Experience in the usage of computers and office software packages (MS Word, Excel, etc), Excellent interpersonal communication skills; ability to work in a multi-cultural environment.
