This is a City based organisation are looking for a professional Corporate Receptionist to work for 9 months starting on Monday 23rd July. Interviews will be held next week. OBJECTIVES OF THE JOB: To be the first point of contact both meeting and greeting clients as well as manage the switchboard. To assist the Corporate Services department in providing efficient and effective admin support to the Head Office To provide secretarial support to the Directors team 1. KEY TASKS: 1.1 Ensure that filing is undertaken regularly and records are kept up to date 1.2 Assist with the facilitation of regular mail-outs from the Head Office 1.3 Deal with general requests for information about the association, internally and externally 1.4 Answer all incoming calls in a friendly and efficient manner, transferring calls and taking messages 1.5 Process invoices and other financial administration 1.6 Maintain databases and spreadsheets 1.7 Prepare and distribute reports, presentations and letters in the house style 1.8 Develop and maintain good and effective relationships with internal and external contacts 2. AD-HOC DUTIES: 2.1 Reception duties are the priority of the role but ad hoc duties during busy periods are required. or in the absence of the Corporate Assistant 2.2 Support other admin staff during busy periods or to cover leave 2.3 Noting down actions for project meetings 2.4 Undertaking minor projects of research and fact finding 2.5 Booking travel arrangements This is a great organisation to become a team member of this successful organisation and be the first point of contact on the telephone as well as meeting clients.
