Tenders Executive

The Team The marketing department is responsible for all aspects of marketing and business development for the firm including organising a large number of tenders. The team of about 25 is based in London, Brussels, Paris and Germany with responsibility for business development planning and budgeting, client management, external communications, including PR, internal communications, events, tenders and directories. Key client management is handled by a separate team that we work very closely with. The London team sits together but works very closely with the partners and lawyers and with other business services areas. Responsibilities We wish to recruit a proactive, ambitious and articulate Tenders Executive on a fixed term contract for up to one year to support the Business Development Manager with firm wide responsibility for Tenders as well as supporting the wider Business Development team. Working with the BD Manager this is a great opportunity for an enthusiastic and motivated marketing professional to gain experience of leading and preparing tenders and presentations together with ensuring that the pitch best practice process are in place. The candidate will work alongside other marketing department members and will be required to work directly (and build relationships) with fee-earners. This role would suit a marketing professional looking move into a more advisory role and specialise in pitching and tendering. . Develop, collate and manage all multi-area bids and tenders within the firm to ensure consistent high quality and that deadlines are met. . Be involved in the production of a variety of capability statements and other ad hoc information . Work with fee-earners to review pricing models included in bids/tenders and introduce new ideas to fee-earners to support winning new business. . Manage the panel review process for clients and prospects. . Manage the sales pipeline and produce regular reports for the business. . Ensure pitch best practice protocols are undertaken and managed as part of the bid/tender process . Ensure our bid generation software is kept up-to-date. . Seek out new business opportunities, aligned to the firm's strategy, and communicate those to the relevant practice/sector groups. . Support the Business Development Managers and Executives in identifying new business opportunities in our key industry sectors and practice areas. . Provide support to the rest of the BD team on department specific bids and tenders where necessary. . Work with the BD Managers and Executives to oversee department specific bids and tenders to ensure consistency with corporate style, delivery of key messages and best practice principles are adopted. . Provide ongoing coaching and training to fee-earners to ensure credibility and confidence during bid/tender presentations. . Continue to seek out improvements to our tender templates which help promote the firm in a positive manner. . Manage the feedback process on bids/tenders and ensure that client feedback is transferred into the firm's best practice process and key points are translated into future tenders . As mentioned above, we must ensure we consistently gain feedback from our clients and use that intelligence to ensure new service offerings are promoted to clients in the correct way for them and at the appropriate level. This will involve undertaking feedback questionnaires, liaising with the client teams, key client teams and other business service departments e.g. finance, knowledge services etc. This also includes finding more out about what clients want from their service providers and taking that information back to the business. This may mean changing our tender, presentation or other form of approach/information provision. . Ensure that relevant feedback from clients is used to update our best practice process and that changes are communicated to partners and BD teams. . Encourage partners to adopt best practice and continually support evolving it to ensure we are competitive in the market (changing to meet clients' needs) . Keep up to date with market and competitor developments related to bid/tender best practice and introduce new working practices to ensure we retain a competitive advantage. . Consistently reviewing ways to use technology to improve the way in which we obtain new business (use of e-marketing. new beauty parade approaches, etc) . Support the BD Manager on other firm wide initiatives and projects where appropriate Key Skills & Experience . Educated to degree level, preferably with marketing qualifications . Proven experience in a similar role or other business development role within a law firm or professional services organisation where tenders were part of the role . A proven track record of results and proactive strategic BD input . Commercial awareness . Confidence to deal with fee earners and partners, interpret their requirements and manage their expectations . Able to multitask, be proactive, prioritise and work to short deadlines . Effective team working skills . Strong IT skills including use of Word, Excel, PowerPoint and Publisher . Excellent English skills, with a focus on attention to detail and ability to communicate an write clearly . Ability to learn quickly and work on own initiative whilst working as an effective team player across the BD/marketing team.
