Legal Team Co-ordinator
Overall Purpose of the Role The overall purpose of this role is to provide professional support to our lawyers in coordination of our events, specific projects, budget preparation and monitoring, and administrative support for litigation. This role also supports lawyers in maintaining contact with external actors, proof reading and supporting information flow of legal work to the Fundraising and Communications team, project work and further covers short absences for the colleague Legal Team Co-ordinator. Overall Objectives (Scope) Organising legal events Preparing budgets and monitoring expenditure for relevant lawyers Providing administrative support for litigation Facilitating contact with external actors Supporting the review of specific documents and information flow Project management Main Duties and Responsibilities Organisation of Legal Events Leading on organisation of events in all their logistical aspects to support the legal work of Interights including travel, visa and hotel arrangements for workshops, conferences, seminars, strategy meetings and colloquia Leading on financial management, including monitoring of spend for each specific event Involvement in the selection of event participants Updating all events and contacts on Interights’ database Supporting other activities that assist the work of the Legal team Updating staff travel spread sheet for relevant staff (as per travel procedures policy) Preparation of Annual Thematic Budgets and Monitoring of Expenditure Preparing Legal team thematic annual budgets Providing information for management accounts and cash flow projections in liaison with the Finance team Developing budgets for specific events and activities Monitoring expenditure on programme activities in liaising with relevant budget holders to ensure up to date accurate information on over and underspend Providing information for funding budgets, working closely with Fundraising and Communications and Finance teams Processing invoices, coding and passing for further authorisati Administrative Support for Litigation Assisting the Legal team by facilitating contact with experts and other external resources on specific cases Supporting the Legal team with the formatting and proofing of documents, compiling annexes and printing copies for submission to courts Assisting in gathering information on the implementation of case judgments, and monitoring legal developments in specific regions or countries Booking individual travel for Interights staff, excluding SMT staff Facilitating External Contacts Supporting lawyers in maintaining contacts with existing networks Networking, outreach and correspondence with current and potential partners and contractors Initiating and co-ordinating informal presentations, such as the Speakers Series lecture programme Project Management Managing individual projects as agreed with the relevant Lawyers/Senior Lawyers including planning coordination, implementation, administration and follow up Documentation/Information Reviewing and proof reading of documents produced by the Legal Team, in co-ordination with members of the Legal team and/or the Information and Publications Officer Ensuring a regular flow of information for inclusion in publications, and the web-site, other reports for fundraising purposes, including drafting of content, in co-ordination with the Information and Publications Officer and Head of Fundraising and Communications Organising internal legal meetings Cover Covering the work of the colleague Legal Team Co-ordinator during short absences as require Other Working within Interights’ policies and procedures Providing necessary information that enables Interights to monitor and evaluate the impact of its work Delivering all aspects of this job description in accordance with Interights’ Equality and Diversity Policy Ensuring all contact and relevant work products are updated on the ThankQ database Completing time sheets by the end of each month To be administratively self-servicing Performing any other duties that may reasonably be requested of a Legal Team Co-ordinator Personal Accountabilities: The post holder may be required to perform work that is not specifically referred to above as may reasonably be required and which is commensurate with the post.
