The Position We are seeking a committed and enthusiastic Administration Assistant / Office Manager / Personal Assistant to provide efficient and effective support in all aspects of administration and secretarial responsibilities to the MD of this successful Company. The successful candidate will report to the MD. You will be responsible for: · Secretarial assistance · Diary management and general PA’s duties · Manage correspondence · Travel arrangements · Communication with high-level contacts both internally as well as externally · Inputting MD’s expenses and preparing relevant expense records · Carrying out and recording Company monthly book keeping · Co-ordinating, organising, minute taking of meetings and preparing necessary administration & associated duties as required (booking meeting rooms, lunches etc) · Record keeping of sickness and holidays · Liaising with Brazil office as required · Research and comply projects as directed · Ensure day-to-day smooth running and organisation of the office and development and maintenance of office systems and processes Applicant Requirements Essential: · Proven experience within an Administration role · IT literate, strong knowledge of Microsoft Office applications including Word, Excel and Outlook · Strong ability to communicate effectively in English, both written and verbal with an excellent telephone manner · Highly organised and able to multi task · Able to prioritise tasks and solve problems · Good eye and attention to detail · Self-motivated, proactive, can do approach to work · Must be able to work independently on own initiative · Strong will and drive · Enthusiasm and commitment · Fluent in English and Italian or Fluent in English and Portuguese · 2 years administration experience in the UK Desirable: · Experience using accounting software (VT Transaction +) · A’ Level education Personal Specifications · High standards of confidentiality and discretion · High standards of personal and corporate presentation · Friendly and professional manners · Positive, smile, happy, self-motivated, entrepreneurial, flexible, creative and lateral thinker · Ability to plan, organize, carry forward and delivery work and projects on his/her own initiative with little supervision · Strong focus on objectives, deliverables and deadlines · Ability to solve problems and prioritize Benefits · Salary £18,000 to £24,000, dependant on experience · 20 days holidays and 8 statutory days · Use of company laptop and mobile smartphone · Opportunity to join a small, energetic, fast expanding, young, international, brilliant work environment at its start and to entirely capture relevant growth · To join a group of highly successful professionals and entrepreneurs, with a strong and proven track record at a very early stage
