Ramboll UK Limited is currently looking for a Legal Administrator for our London office. This is a part time one year fixed term contract. Responsibilities : Legal Administration Administration of RUK Legal inbox and tasks o Regularly checking the inbox to: § Highlight urgent review deadlines or request the timescale if not provided § Check if all relevant information and key documents are provided for the review including standard queries document § For live projects contract review, contact the project team to complete the standard queries document § Deal with emails where a reference to one of our standard forms or guidance notes is all the advice needed § Deal with ad hoc queries for insurance or forward to marketing if PQQ queries § Deal with emails requiring logging only o Assigning the contract review tasks to reviewers as directed by the Head of Legal Contracts Database o Registration of contracts / warranties details in Contracts Database when notified by project team or requested by other team member o Logging contract / warranties details when dealing with the document o Placing the contracts / warranties copies on the system with a link to Contracts Database o Responding to queries about Contracts Database, including reports and searches; providing training if necessary o Checking compliance of legal procedure in sections using Contract Database and active monitoring of the contract status, including liaison with Project Coordinators o Assist team members in search for previous correspondence (predating database) and transferring folders from Public folders to Sparrow Execution of documents o Preparation of engrossments and arranging the signatures o Preparation of the correspondence to clients and sending the signed documents o Logging in the register of documents Filing System o Scanning, filing and archiving for the London team Legal (support to the Legal Team) Contracts reviews o Proof-reading of the final documents against the negotiations o Checking the follow-up contracts against the legal comments o Review of the offer and acceptance contracts to establish the contract status (optional) o Comparisons of documents received from repeat clients to ascertain whether the past response can be sent or a fresh review is needed (optional) Responding to internal legal queries o assistance in completing the standard RUK forms o directing to the Contract & Legal Information on SharePoint where appropriate General Administration o Arranging the notary signature o Preparation of Section movements and meetings, including liaison with Main Board Secretary when necessary. Arranging the section travel and events in absence of Main Board Secretary o Booking meeting rooms for both Southampton and London teams o Booking couriers for London o Dealing with Purchase Orders for both Southampton and London teams o Administrative assistance to the Legal Administrator in Southampton o Administrative assistance to the Company Secretary o any other administrative assistance if requested by Head of Legal Internal systems o Detailed knowledge of legal documents procedure o Familiarity with Maconomy/ Project Portal/Mail Manager/Templates o Familiarity with Suppliers Database and procedure
