We are currently seeking a temporary Administrative Assistant. The job description and required skills and qualifications are listed but in addition to those, we are looking for someone with a strong desire to learn how our industry operates. Also someone who can work in a very fast paced environment, pick up things quickly, not be afraid of deadlines, and always have a sunny disposition on the phone or in person no matter what's going on. The ideal candidate must also be able to deal with last minute changes, diverse individuals/personalities from different backgrounds, cultures, etc, and demonstrate the willingness to get the job done. Job Description: To provide a range of administrative and clerical services including the following: •Prepare for interviews ensuring that managers and recruiters receive accurate and timely information. •Notify candidates of interview appointments and results, and to request employer references ensuring a timely response. •Respond to general face-to-face, telephone or e-mail enquiries relating to recruitment issues and to ensure levels of service are maintained in the absence of the Recruiter. •Compile interview files, paperwork and schedules for assessment. •Prepare employment contracts for newly recruited staff and to process any subsequent amendments in an accurate, efficient and timely manner •Assist with interview administration including interview scheduling, candidate travel arrangements and expense reports. •Maintain approved requisitions including coordinating job postings and advertisements. • Assist with generating candidate pool by conducting web searches, sourcing resumes through various internet job boards including LinkedIn and attending networking events. • Conduct initial phone screens to determine candidate's viability for various roles. • Department projects as assigned. Provides input for continuous process improvement for more effective systems, processes and procedures. • Be vigilant of issues and conditions that can affect their fellow workers. • Report any issues that can impact the environment or the safety of the employees. •Other clerical duties as assigned Qualifications •Must be able to clear a criminal background check •Must be able to clear a drug screen •Must be able to work in a fast paced, but confidential environment •Microsoft Word, Excel, and Outlook Proficiency Level - Intermediate •Professional demeanor and attitude at all times •Strong attention to detail •Excellent written and verbal communication skills •Customer Service (not retail) experience preferred •Strong desire in staffing preferred
