A small non profit that lends items to its members wants to better track the inventory and its use by members. We currently have a sign out sheet that members use that indicate the tool used, when they took it, when they plan on bringing it back, and when they did bring it back. Also on the sheet is a place for volunteers to indicate they helped with the project. Ideally we'd like to have a way to take that form and scan it, have that information imported into a program, and run reports against the program. If we can't scan or that is too expensive to impliment we'd settle for a web program that the information can be entered into. The paper copy gives us a backup and something to hang in the spot the tool is stored so that we know who has it and when it'll be back. Some of the reports we want to run: total # of times a particular tool was used, average time tool was used, total time tool was used, how many times an indivdual used any tool, total time an individual used a tool, number of times a volunteer did volunteer work, etc. All these reports should have a date range so we can run daily, weekly, monthly, yearly or seasonal reports. We can purchase some specialized hardware and software but our overall budget is not huge since we are a nonprofit volunteer organization. We are also willing to recreate our sign out sheets to be "scantron style" including member numbers intead of names and codes for the tools. I've seen some document imaging programs that can scan and index the information it collects but I haven't seen the reporting side of those programs. That is where the eLance community comes in! The finished product should be able to be run locally on a PC computer and have an export, backup, or archival process. We would also need any and all source code and documentation to make changes in the future including adding and removing members and adding and removing tools. The generated reports can be in any format designed to be printed on 8.5x11 paper either portrait or landscape.
