Administrative and Events Assistant
The American Friends of the Israel Museum (AFIM) seeks a bright, personable, and detail-oriented assistant in the two-person Beverly Hills office of this not-for-profit arts organization. The job is a blend of administrative duties and direct contact with the organization’s trustees and donors at meetings and events. AFIM raises funds for the Israel Museum, the national art gallery of Israel, located in Jerusalem, and produces arts programs (an annual gala, visits to local museums and galleries, panel discussions) for its supporters in Los Angeles. AFIM’s headquarters is in New York City. Requirements: B.A. degree, preferably in communications or art history Excellent organizational, writing and telephone skills Must be poised, diplomatic and discreet Some experience in event planning An interest in art; familiarity with the Los Angeles art world a plus High-level computer skills: Word, Excel, PowerPoint; database, merging documents, printing images with text, page layout; knowledge of Adobe Photoshop a plus Basic bookkeeping skills Responsibilities: Handle administrative work of office: phone, photocopying, email and other correspondence, bookkeeping, scheduling Plan events: research and implement arts events at galleries, museums, auction houses, private collections, etc. Manage membership database, including generating donor reports and tracking contributions Compose invitations and other communications to supporters Oversee printing and mailing of solicitations and invitations Attend all AFIM events This is a 6 months full-time position with an hourly rate commensurate with qualifications and experience, with the possibility of converting to full-time permanent position.
