Travel Co-ordinator
Purpose of Work: To successfully and cost effectively co-ordinate travel products and services for all events operated by the business Duties/Responsibilities: • Co-ordinate travel products, focusing on contracts and allocations, adhering to terms & conditions and payments terms of each supplier agreement • Co-ordinate contracts by making considered proposals and timely decisions with regard to payments and amendments/cancellations in line with product strategy and budgets • Co-ordinate client bookings where required (including confirmation paperwork, invoices, special requests, travel itineraries along with client communication post-sale) • Liaise with internal departments and suppliers regarding queries and requests for potential and confirmed bookings • Provide clients (internal and external) with excellent customer care • Generate service reports and service manifests, collate and distribute service remaining reports • Provide information to members of the Management Team as required • Ensure that the services procured adhere to industry regulations through the maintenance of health, safety and quality audits • Conduct site inspections and familiarisation trips where required in the UK, Europe and overseas • Co-ordinate staff travel services • To attend and assist at events or on tour where required • To undertake research and assist with product development • Any other duties reasonably required Skills and Experience • A solid travel industry background, gained over a minimum of two years working in the travel sector • An enthusiastic personality with a dedicated approach to team work • self sufficient in prioritising and organising workloads and planning ahead whilst working under pressure • An extremely flexible approach to work and prepared to work weekends, evenings and additional hours when required • Excellent verbal and written communication skills with proven strong negotiation skills • Excellent working knowledge of Microsoft Word, Excel, Outlook and Power Point • Ability to learn in-house IT systems quickly • Rigorous attention to detail • Excellent numerical skills • Galileo (GDS) experience preferred but not essential • Prepared to travel to events when required, UK and Worldwide • Full driving licence
